Bookkeeping in batches
Organising payments for bookkeeping is smoother now that you can do it in batches. This means you’ll see a summary of all payments missing bookkeeping information (such as receipts, VAT specification), which you can then filter by different criteria and edit. Not having to sort through transactions one by one and spot the missing details means faster bookkeeping – so you can get back to focusing on work.
On top of organising payments for bookkeeping, you can track income, expenses, profit and VAT on a monthly, quarterly and annual basis. So you know in real time how your business is performing.
Preset categories
We automatically add some preset categories so that you can use to organise your finances.
Income Categories: Business income, Personal deposit, Other non business payments in
Expense Categories: Business expense, Personal Withdrawal, Other non business payments out
You can always create your own categories via Categories in the Bookkeeping menu of you account in the browser. If you create new categories or have done so in the past you need to match them to a category group. Continue reading to find out why we have added category groups and how you can use them.
Category grouping
Get more accurate financial insights out of Holvi’s category grouping
Holvi’s category grouping tool gives you an even better understanding of your business performance by helping you to calculate profit/loss, VAT and map income and expenses with added precision.
For more accurate calculations, start mapping your existing categories to their corresponding category group. For example, ‘Office supplies’ (category) would go under ‘Business expenses’ (category group). This allows you to, for example, further differentiate your personal expenses from business ones and get real-time calculations with 100% accurate information.
Category grouping doesn’t affect your existing categories, which are still available in your ‘Category’ dropdown. You can still create new categories and categorise your transactions exactly the same as before. The only thing that changes is their mapping – i.e., how these categories are organised. We’ve added another layer within your bookkeeping accounts to give you even clearer financial figures and statements.
Where will I find the tool?
You’ll find the new category grouping tool on your Holvi Bookkeeping page under Categories. From here you can enter:
a) The categories list page, where you see all your categories in Holvi
b) The category edit details page, where you can add your categories to category groups
What’s in it for me?
By using category groupings you’ll get more accurate info on:
- Profit/Loss
- Income and expense statements and VAT reports
- How much money you have moved to/from your personal account(s)
- How much VAT you have to pay
Bookkeeping reports
We have updated your bookkeeping reports to reflect the preset categorisation. We are also adding any transactions that you manually tracked to your reports.
All of the transactions that you have assigned to the personal category group are excluded from the income statement.
External transactions
You can now keep track of transactions that occurred outside of your Holvi account, e.g. a cash transaction that you haven't deposited to your account.
You can add a new external transaction via the Transactions view. Select New in the upper right corner to manually track expenses and income.
VAT view
The new VAT view summarises all of your transactions of a specific bookkeeping period. The new view also supports the VAT return process by calculating the VAT your business should pay to or reclaim from the tax authorities.
Retired features
We analysed how our customers are using our bookkeeping functionalities and talked to a lot of customers while designing the new bookkeeping view. While doing so we realised that there were some features that need redesigning and we therefore decided to replace them with new functionalities.
Category-focus
Our old bookkeeping page focused on categories. The new bookkeeping page focuses on transactions. We think that this will make it easier for you to organise your business and keep track of your finances.
Budget periods
The budget periods didn't allow you to easily look at different bookkeeping periods. You can now easily filter by selecting a time range in the upper right corner of the bookkeeping page. The reports are also created based on the time range you select.
