💡 Holvi’s invoice statuses show you exactly what’s happening with an invoice at any given moment.
You can find an invoice's status next to each invoice on your Invoicing page – and in each individual invoice's details. Invoice statuses help you keep better track of your income.
Status | What it means |
Draft | This invoice has been created and saved, but not sent. You can either send it or mark it as sent. Both options update the corresponding income category, but only actually sending it will get it to your client. You can also edit or mark as void invoices with draft status. |
Sent |
This invoice has been sent to a client or marked as sent. When an invoice is paid, it will auto-match with the incoming payment based on the reference number. If the payment for this invoice arrives without a reference number, you can manually mark the invoice as paid. |
Paid | This invoice has been matched to an incoming payment based on the reference number, and has been marked as paid. |
Overdue |
This invoice wasn’t paid on time. You can either change the due date and resend the invoice, or credit this invoice then create and send a new one. It’s not possible to change an invoice amount after it has been sent, so if you wish to charge a late payment fee you’ll need to credit the invoice and send a new one. |
Credited |
This invoice has been credited – in other words, cancelled after it’s been sent. Crediting an invoice in Holvi does not automatically notify your client. To send clients a credit note, download the credited invoice as a PDF and send it via email as an attachment. You can read more about crediting and voiding invoices here. |
Void | This invoice was never sent, then marked as void. It’s essentially deleted but there’s still a record of it in your books. |
