You can’t delete an invoice in Holvi. Invoices are official bookkeeping documents, so a record of every invoice needs to stay in your books by law.
Instead, you can cancel an invoice. How you do this depends on whether you’ve sent it:
| Have you sent the invoice? | What to do | What happens |
|---|---|---|
| No – it’s still a draft | Void it | The invoice is cancelled and gets the status Void. |
| Yes – it’s been sent | Credit it | A credit note is created that cancels the invoice. You then send the credit note to your client (if applicable). |
Void an unsent invoice
Voiding cancels a draft invoice while keeping a record of it in your books. Only invoices with the status Draft can be voided.
- Log in to Holvi.
- Go to Invoicing in the main menu.
- Click the draft invoice you want to cancel.
- Click Options > Mark as void.
The invoice now has the status Void. You can still find it by filtering your invoice list by status, and you can duplicate or print it if you need to.
Credit a sent invoice
Crediting cancels an invoice after it’s been sent. Holvi creates a credit note that cancels out the original invoice, so your invoice numbering stays complete with no gaps.
Only invoices with the status Sent can be credited.
Step 1: Credit the invoice
- Log in to Holvi.
- Go to Invoicing in the main menu.
- Click the invoice you want to cancel.
- Click Options > Credit invoice.
💡 Sent the invoice outside Holvi?
If you downloaded the invoice PDF and sent it to your client yourself, its status may still be Draft. Mark it as sent first: open the invoice and click Options > Mark as sent. Then follow the steps above to credit it.
Step 2: Send the credit note to your client
Your client isn’t notified automatically, so remember to send them the credit note. Open the credited invoice and choose one of these options:
- Send by email: Click Options > Send credit note. This is only available if your client’s email address is in the invoice details.
- Send it yourself: Click Options > Print credit note, download the PDF and send it to your client.
Frequently asked questions (FAQ)
Can I fix a mistake instead of cancelling the invoice?
If the invoice is still a draft, you can edit it: open it and click Options > Edit. If you’ve already sent it, credit the invoice, then create a corrected one. To save time, open the original invoice and click Options > Duplicate.
Will a voided or credited invoice still show in my books?
Yes. Both stay in your invoice list with their own status (Void or Credited), so you always have a full record for your bookkeeping.
