The account creator (owner) can invite team members to their Holvi account. User credentials cannot be shared with another person – each user must have their own personal Holvi account.

Roles at a glance
There are four user roles in Holvi. A new user is always invited first as an editor or cardholder.
| Role | What the user can do | How the role is assigned |
|---|---|---|
| Cardholder | Use and view only their own card | Invite directly. The role cannot be changed later. |
| Editor | Use accounting and invoicing tools, for example, but cannot make payments | Invite directly. Suitable, for example, for an accountant or a future creator. |
| Admin | Use most functions and approve payments | Invite first as an editor and update the role after the invitation has been accepted. |
| Creator | Account owner with full permissions | Invite first as an editor and contact customer support. |
How to invite a user
- Log in to Holvi as the account administrator.
- Go to Settings > Users.
- Click Invite user.
- Enter the invitee’s email address and phone number and select a role (Editor or Cardholder).
- Send the invitation. You will be notified when the invitee has accepted it.
Does the invitee already have a Holvi account?
Use the same email address and phone number as in their Holvi profile in the invitation. A person can have only one Holvi account, so the invitation will fail if the details do not match.
The invitee can check their contact details in Holvi’s settings (profile icon > My settings).
Inviting a cardholder
Once the cardholder has accepted the invitation, they add their postal address themselves, and you can order a payment card for them. The cardholder’s identity does not need to be verified separately – the account administrator is responsible for use of the card.
Please note: the cardholder role cannot later be changed to editor, admin or creator. If the person later needs broader permissions, delete their cardholder account and invite them as an editor.
Adding an editor
An administrator cannot be invited directly. Proceed as follows:
- Invite the person as an editor.
- Wait for them to accept the invitation and complete strong authentication.
- Go to Settings > Users and update their role to Administrator.
Changing the account creator
Changing the account creator requires contacting Holvi customer support. Proceed as follows:
- Invite the new account administrator as an editor.
- Ask them to accept the invitation and complete strong authentication.
- Contact customer support to change the account creator.

Inviting an accountant
Holvi does not have a separate accountant role. Invite the accountant as an editor: this gives them access to all important accounting information, but they cannot, for example, approve payments.

Why does the invitation fail?
The most common reason an invitation fails is that the invitee’s email address or phone number is already in use with another Holvi account. A specific email address and phone number can belong to only one active Holvi account at a time.
Check these things if the invitation does not go through
Did you enter the details correctly?
Check the format of the email address and phone number.
Does the person already have a Holvi account?
Use exactly the same contact details as in their profile. Ask them to check these under profile icon > My settings.
Are the contact details being used by someone else?
If the email address or phone number is linked to another person’s profile (for example, the former owner of the number), that person must first change the details in their own profile so that they become available for use.
