If the person responsible for your company’s Holvi account changes, you’ll need to contact us to transfer account ownership to the new Creator (the account’s main user and legal administrator).
Only the Creator can access certain settings and features, so it’s important that legal control remains with the right person. This keeps your account safe, and helps you avoid potential delays and restrictions. Learn more about Holvi’s user roles.
Creator change process overview:
- The current Creator invites the new Creator as an editor.
- Note: If you have Holvi Flex, please contact us to do this for you.
- The new Creator verifies their identity.
- The current Creator uploads a recent registry extract and, if needed, a Power of Attorney.
- Either one contacts Holvi Support to request the change.
- Holvi completes the process.
💡 Holvi profiles are personal
The new Creator must have their own Holvi profile—they cannot use the previous Creator’s login.
How to transfer Holvi account ownership
Phase 1: Prepare your documents
Having the right documents ready will help the process go more smoothly.
Required documents:
-
Registry extract
- Dated within the last 6 months
- Shows the new Creator’s role and rights
-
Power of Attorney (PoA) – if needed
- Required if the new Creator is not a sole signatory
- Must be signed by hand or electronically with strong authentication
- Must use Holvi’s official template
Phase 2: Instructions by role
→ I’m the current (exiting) Creator
→ I’m the new Creator
Instructions for the current Creator
1. Invite the new Creator
- Log in at Holvi.com
- Go to Settings > Users
- Click Add new user and enter the new Creator’s details.
- If they’re an existing Holvi user: Use their registered email and phone number.
- If they’re new to Holvi: Use a unique email and phone number. They’ll be asked to create a profile and verify their identity.
⚠️ If you have Holvi Flex:
You can’t invite new users under the Flex plan, so you’ll need to contact our Support team to do this for you.
Email us or submit a ticket via our messaging bot Hilla (bottom right), including the name, email, and phone number of the new creator.
(This doesn’t apply to Associations Flex, which allows up to 3 users at a time.)
2. Upload required documents
- Go to: Profile icon (top right) > My businesses > Have your business details changed? > Add.
- Upload the registry extract and PoA (if required).
3. Contact Holvi Support
Once the new Creator is verified and documents are uploaded, please contact Support to request the change:
- Log in and use Messaging (chat bubble), or
- Email support@holvi.com.
Include in your message:
- Who the new Creator is
- Whether you (the previous Creator) will remain on the account.
This request must be made in writing (not by phone).
Instructions for the new Creator
1. Accept the invitation and verify your identity
- Ask the current Creator to invite you.
- Accept the invitation via email.
- If you are new to Holvi, please complete your profile and verify your identity. The transfer cannot proceed until this is done.
2. Ensure documents are submitted
The current Creator can upload documents, or you can send them to Support if needed:
- Registry extract (no older than 6 months)
- Power of Attorney (if applicable, using our template)
3. Contact Support to confirm the change
Once verified, you can also contact Support to request the Creator change if the current Creator cannot. Only one person needs to submit documents.
In your message:
- Identify yourself as the new Creator
- State whether the previous Creator should be removed
- Submit documents if not already uploaded
Important
We can only complete the change once:
- The new Creator is verified
- All required documents have been submitted
Do you need a Power of Attorney?
A Power of Attorney (PoA) is needed if the new Creator is not listed as a sole signatory on the registry extract.
Your PoA must:
- Use Holvi’s official template
- Be signed either:
• By hand, or
• Electronically with strong authentication
